Yale University Rental Car Policy
Yale Travel Services has negotiated new car rental agreements for 2007-2008 Yale business rentals with primary supplier Hertz Corporation (effective 6/1/07), and secondary suppliers Avis Rent A Car System (effective 6/15/07, and Enterprise Rent-A-Car (effective 7/1/07) that will provide collision damage coverage and supplemental liability protection inclusive with the rates. In order to receive the coverage, the unique Yale ID numbers for each respective company must be provided at the time of the rental reservation. Click here for Yale ID numbers. Coverage will apply at all participating locations of the respective companies for rentals in all 48 contiguous United States for university business only.
Rented Vehicles: Yale Policy
- Yale Business Domestic Rentals: decline (do not purchase) all additional insurance (not reimbursable). Rentals agreements with Hertz, Avis, and Enterprise as outlined above will be preprinted with “declined coverage” and the agreement will be noted that coverage is included in the corporate rate. If an accident occurs with a rental other than with Hertz, Avis, and Enterprise , a $500 deductible may be charged back to your department. Yale Risk Management covers the balance.
- Yale International Rentals: accept (purchase) the damage and liability protection (reimbursable), and decline the other insurance waivers for all rentals outside the continental United States , Puerto Rico , Virgin Islands , and Canada.
- Yale Personal Rentals: Discounts can be used for personal use; however, the insurance coverage does not apply. Check with your own insurance company, charge card or rental car company for coverage information. It is the renter’s responsibility to notify the rental agency when renting on personal business.
- Using your own car: If you travel with your own vehicle and submit mileage for reimbursement (refer to Controller’s Office Fact Sheet Blue pages for reimbursement amount), your auto policy is primary and Yale’s is secondary.
