Group Travel Guidelines

Defining Yale Sponsorship

Yale sponsorship is defined as one of the three following situations:

  • The trip is organized on behalf of a registered Yale organization, including but not limited to: student organizations, religious groups, sport clubs, varsity athletic teams, civic engagement organizations, residential colleges, or academic or administrative departments.
  • Funds are contributed from a University account, or money is held and disbursed through a University account (i.e. fellowships, grants, International Summer Award, etc.)
  • The trip is organized by a University faculty or staff member

Group Travel with Yale Sponsorship (Registered and Non-Registered Groups)

Registered Group Travel

Policies governing undergraduate University-sponsored travel for registered student organizations, faculty-led initiatives and other group travel.

  1. Group leaders are expected to follow guidelines and to be aware of Yale's travel policies.
  2. Undergraduate organizations must provide an itinerary to the Office of Student Affairs at least two (2) weeks prior to their departure. The itinerary should include details of travel arrangements (e.g., flight numbers and times), at least one daily contact telephone number, overnight destinations (including contact information), and a list of all travelers. Itineraries should be delivered to 110 SSS, faxed to 432-7369, or sent by email to silvia.decastro@yale.edu.
  3. Please Note: In order to receive funding, ALL participants in group travel must be registered in the International Travel Database.
  4. Please Note: All students seeking credit or funding for activities abroad must complete a Student Acknowledgment and Release Form on which they specify that they have checked the U.S. State Department and UnitedHealthcare Global.
 

Any students traveling abroad are encouraged to make connections with alumni living internationally.

Non-Registered Group Travel

  1. In order to receive funding, ALL participants in group travel must be registered in the International Travel Database.
  2. All students seeking credit or funding for activities abroad must complete a Student Acknowledgment and Release Form on which they specify that they have checked the U.S. State Department and UnitedHealthcare Global.
  3. Any undergraduate organization that conducts meetings periodically or sponsors activities on the campus of Yale University, that provides a service, or that raises funds within the University for charitable or other purposes must register with the Yale College Dean's Office.  Registration is an annual requirement.  Please consult the Official List of Registered Undergraduate Organizations for confirmation of your group's registration status in Yale College.
  4. Student organizations not eligible for registration in Yale College (see Appendix D, Manual for Registered Undergraduate Organizations, of the Undergraduate Regulations) are asked to contact the Center for International and Professional Experience with questions about travel preparation and logistical matters.
