Bazaar of Registered Undergraduate Organizations

General Information

The Bazaar for Registered Undergraduate Organizations is scheduled for the first Sunday of Freshman Orientation (see Calendar for Opening Days of College) on Hewitt Quadrangle (Beinecke Plaza). The Bazaar begins promptly at Noon and ends at 3 p.m. Check in (attendance confirmation) begins at 10 a.m. 

Check In

Registered undergraduate organizations should report to the Information Table, which will be located at the Wall Street entrance to Hewitt Quadrangle. You will be provided with the number and location of your table assignment, and may proceed to set up in your assigned space. You may either wait at your space until the Bazaar begins or choose to return to the Bazaar site at Noon.

No registered undergraduate organization will be allowed to check in or set up before 10 a.m. Organizations that do not check in by Noon will forfeit their space at the Bazaar.

Eligibility Criteria

Your organization will have automatically been assigned space at the Bazaar if your group was registered with the Yale College Dean’s Office during the previous academic year. Registration begins on the first day of classes for Fall term and ends on the last day of classes for Spring term. To confirm whether your organization is registered with the Yale College Dean’s Office, you may either access the Official List of Registered Undergraduate Organizations or ask a staff member at the Information Table the day of the Bazaar.

Official List of Registered Undergraduate Organizations

Undergraduate organizations whose registration request has been approved will appear on the Official List of Registered Undergraduate Organizations—consulted by the UOFC and other Yale programs and departments for funding eligibility; the Office of the Registrar (Faculty of Arts & Sciences) for the reservation of University facilities related to major conference and events; and the University’s Webmaster for the creation of student organization web pages.

The Official List of Registered Undergraduate Organizations (maintained and updated by Information Technology Services) should not be confused with the University-wide, alphabetical listing that appears on the University’s front page.

Interim/Temporary Registration

There is no Interim/Temporary Registration for undergraduate organizations that wish to participate in the Bazaar but failed either to submit an online registration request by the end of the preceding academic year or to provide missing information if placed on registration hold at any point during the prior academic year. Club sports and other athletic groups are not eligible to participate in the Bazaar; instead, they may participate in a similar event hosted exclusively for them by the Department of Athletics.

 

 

Unregistered Undergraduate Organizations

If your organization’s registration request was not completed or approved during the previous academic year, your group will not have been assigned space at this year’s Bazaar. You may choose to sign up on a wait list—first come, first serve—and may be provided table space only after all registered undergraduate organizations have checked in and only if space becomes available.

Dean Edgar Letriz will determine eligibility to participate in the Bazaar.

The Yale College Dean’s Office reserves the right to refuse participation to any undergraduate organizations whose registration records indicate prior, consistent, non-compliance with or violation of the Undergraduate Regulations.

Staff

Staff will be on site the day of the Bazaar. Staff are responsible for directing the flow of traffic, answering general questions about the check in process, and monitoring the assignment of reserved spaces. Dean Edgar Letriz will also be on site to supervise and coordinate the event.

Clean Up

Each organization will be responsible for cleaning their assigned area. Please place trash and recyclable items in the corresponding containers before you leave your designated area. Fold chairs and return folded tables to their designated pick-up/drop-off location.

Annual Registration

All returning and new undergraduate organizations must re-register on line each academic year. In order to facilitate a group’s ability to reserve classrooms, offer conferences, and apply for funding during the month of September, registration approval granted during the previous academic year continues up through the date of the first scheduled fall funding deadline established by the Undergraduate Organizations Funding Committee (UOFC). This deadline date generally falls in early October and is posted (along with all other UOFC application deadlines and funding review meetings) on the UOFC web site.

Registration privileges and approval status from the previous academic year are automatically rescinded the day after the first scheduled Fall funding deadline established by the UOFC Thereafter, all organizations must re-register for the new academic year.

Note: The submission of the online registration request does not constitute registration approval by the Yale College Dean’s Office. An undergraduate organization’s registration request is approved only once the organization’s President has received official confirmation (email correspondence) of its registration approval from the Office of Student Affairs and the organization’s name appears on the Official List of Registered Undergraduate Organizations.
