Latest Central Backup Rules

Due to the increased automation of the Central Backup service and in keeping with the University AUP the following conventions  were adopted since January 2004.
As of this time any Central Backup (CB) account that has not been backed up for over 90 days will be flagged automatically by the system and an email will be sent to the registered client, business manager of the corresponding ORG, and the registered support provider for further action. In the case where any of these contacts is missing the email will be sent to the head of the support service designated. i.e. FAS accounts to the designated FAS support manager, and administrative computers to the administrative support manager, etc.
  • 14 days after the first notification and if no action is taken by any of the contacted parties the account will be locked.
  • 90 days after this action and if no contact has been initiated by the client a further email communication will be sent to the aforementioned parties advising them that this account will be deleted from the server if no action is taken.
  • 14 days after this notification the account will be flagged for deletion and no further liability will be incurred by ITS or Central backup for the stored data.
The process described above will also be implemented in the case of a person whose role at the university is terminated in the HR records. In this case the account will be locked 14 days after the notification and then deleted after the mandatory period of 90 days. Email notifications will again be sent to the respective parties as detailed above.

CB is not an archival service and this convention had been adopted based on the criteria that data on the system in the case of an active account is kept for a period of 90 days or three generations of backup. This is unchanged from the current operational procedure. The only major change that has been implemented is the purging of data that is older than 90 days.

Special conditions in the case of faculty machines for members that are on extended sabbatical leave can be made by special request. These will be reviewed on an individual basis and monitored closely as less expensive forms of archiving are available to individuals and will liberate precious university resources for critical backups of active systems.

It is deemed that if an account has not backed up for more than 90 days that it is inactive and not being used, and can therefore be deleted from the system to allow the recycling of the license. If the user wished to start using the service once more, they then will be required to register with the service once more and create a new account.

For accurate implementation of these rules an intensive clean up of the exiting data has been under way for some time, and will continue into the future untill all accounts on the system are in compliance.
