Airfare: Conferences may offer "special airfares" with an airline file or code number available to participants. The discount is usually 5% off the lowest published fare or 10% off the unrestricted coach fare. Orbitz for Business can apply the discount to your ticket. Hotel: We recommend reserving the room directly with the conference or hotel as soon as possible. Conferences have blocks of rooms with reduced rates that sell out quickly. If you are unable to make reservations at the conference hotel, call Orbitz for Business at 1-877-672-4891, or check the OFB web site, for available options. Always remember to click the “More rooms and rates” link to see all available price options. Use a charge card to reserve your room and be sure to inquire about the cancellation policy.
Ground transportation: Read the conference material, they may reference the best way to get around town and to/from the airport. We suggest not renting a vehicle; it usually sits in the parking garage.
Reimbursement for conference registration: Registration paid to the conference by the attendee should be charges to a Yale P-Card, and expensed through EMS. Registration paid by a personal credit card, or check, cannot be reimbursed until the traveler has returned from the trip.
