Applications and Acceptance

When should I apply?

Apply early. Yale students who have the necessary prerequisites for a course are accepted in the order in which their applications are received, and classes may fill up before the deadline. If a class is full, a student will be notified that he/she has been placed on a waiting list for entry into the course. Yale students have precedence over non-Yale students through the April application deadline. Applications from non-Yale students will be prioritized in the order in which they were received, and students will be notified of their acceptance within one week of the April deadline.

I have been in contact with the course instructor, and he/she assures me that I am well suited to the course. Does this mean I am in?

No, students can only be assured of acceptance to a program when they have received an official acceptance letter from the Dean of Yale Summer Session.

I am still waiting to hear whether I've been accepted to the course, but in the meantime I'd like to find program updates. Where can I do this?

Check the program Web site to find out about any program or information updates, instructions to students, news about orientation sessions, etc.

I have been accepted to the program but am unable to participate. How can I drop the course?

Yale Summer Session must receive notice in writing indicating that the student is dropping the course. A notice written to the course instructor is not sufficient.



Expenses and Funding

Are other Yale scholarships available in the summer?

Yale students should check the Student Grants and Fellowships Database for further information about summer funding opportunities. Check with Tim Stumph in IEFP for further information on fellowships.

How do I apply for an ISA if it is to be applied to a Summer Session course?

When you apply for Yale Summer Session Abroad simply check the box on the applicaiton indicating you wish to apply for the ISA.

I am participating in an 8-week language course that begins at Yale. Does the ISA cover my housing cost in New Haven?

The ISA covers only expenses related to the overseas portion of the course. Housing in New Haven is not part of the award.

I need a visa to go to the host country, but the program budget for my course does not include this cost. Am I responsible for this?

The budget estimate found on the program Web site includes only the visa cost for courses in which U.S. students are required to obtain a visa to enter the host country. A non-U.S. Yale student who is receiving an ISA and must obtain a visa to enter the host country should find out the visa cost and inform both the Summer Session Study Abroad Coordinator and Carolyn Falls of Student Financial Services. This cost will be added to the student's ISA budget.



Travel Arrangements and Documentation

Can I arrive early or stay later at the host site, or do I have to travel with the group?

Students are expected to arrive no later than the start date of the program listed, and are required to make their own transportation arrangements to and from the host site. Students who choose to arrive early or stay later must find and pay for their own lodging for any time spent in the host country outside the official program dates. Check the particular program Web site to find out the official dates.

Will I be picked up from the airport?

You should plan to find your own transportation from the airport to your local housing. If the instructor or program leader arranges a group pickup from the airport, he/she will inform you of this in a pre-departure orientation.

When should I get a passport?

If you don't already have a passport, you should be in the process of obtaining one. Certain programs may require your passport information as part of the application process.

I have a passport, but it is going to expire in less than a year. Should I renew it?

It is your responsibility to check the host country's entry requirements. Some countries require that a traveler's passport be valid several months past the expected date of departure from the host country.

What if I need a visa?

It is your responsibility to find out whether you need a student or tourist visa to enter the host country and to find out what is necessary to obtain a visa. Visit the Web site of the host country's local consulate to find out this information. Upon a student's request, Yale Summer Session will provide a letter of support to be presented to the consulate. The student assumes all costs associated with obtaining the visa.

I need a visa to enter the host country. How soon should I get it before departure?

Do not leave the visa until the last moment. If you do, and if you present the application incorrectly or the consulate requires further information from you, there may not be enough time to put things in order before your expected date of departure.

Will I have opportunities to travel on my own?

Any time outside of class and required program activities is your own time. You will receive a schedule of class and group activities from the instructor shortly before the program begins.



Housing

Can I find my own study abroad housing?

Undergraduates in a language course must use the housing option provided by Yale Summer Session. Undergraduates in non-language courses are encouraged to use the housing option provided by Summer Session, and the program instructor may make this a requirement of the course. Graduate students are allowed to refuse any housing option. Students who choose not to use the housing provided must inform Yale Summer Session by Monday, May 14 in order not to incur a housing penalty. Students cannot be guaranteed program housing once they have refused it.

I'm in an 8-week language course that begins at Yale. How do I arrange housing in New Haven?

The application asks whether the student wishes to have Yale Summer Session housing. If you choose this option, you will be placed in Yale housing and billed full room/board charges for the number of weeks on campus. Housing is charged by the week. A student who leaves housing before the end of a week will be assessed a full week's room/board. All meals are covered with this option. Any student may refuse Summer Session housing and choose to live off-campus. If you choose this option, you are responsible for finding your own housing.



Making Payments

When are payments due to Yale Summer Session?

A program fee will charged to the student SIS account upon acceptance. A student who officially drops a course before the application deadline will be refunded this program fee. No refund will be made after the application deadline. An accepted student who has not paid the program fee and who does not officially drop a course before the application deadline will still be assessed the program fee.

Please be aware that the program fee will be charged automatically to any student who is accepted after the application deadline, and payment is expected immediately upon receipt of the acceptance letter. The charge will not be removed from such a student's account, whether or not the student plans to stay in the program.

The Study Abroad housing fee will be charged to the account of any student who has not indicated in writing to Yale Summer Session before April 16 that he or she is refusing the Summer Session housing option abroad. The student has until May 14 to inform Yale Summer Session in writing that he or she is refusing Study Abroad housing in order to receive a full refund for the housing fee.

What charges will appear on the bill I receive from Student Financial Services?

Student Financial Services will bill all students for the non-refundable program fee, tuition, and the room and board charge. The bill will reflect any scholarships or awards received by the student. If a particular program charges visa or overseas health service fees directly to the student, that charge will also appear on the student's account. Students in the 8-week language course with a New Haven component should be aware that the abroad room/board charge and the on-campus room/board charge may appear in different billing statements.

Where do I make payments?

For payments made by check, the check should be made out to Yale University and sent to the Student Financial Services office (P.O. Box 208232, New Haven, CT 06520-8232). Yale students may also make payments on line through ePay.
