VIP Orders Transition to SciQuest January 1, 2007

Announcement sent to all Yale University-wide Contract Suppliers August 2006:

 

Dear Yale Contract Supplier: 
 
Currently, VIP numbers are used as a method of payment to our contract suppliers, such as yourself, when Yale purchasers order directly via the phone, fax, email/Internet or even person-to-person.  While this process does expedite orders, it does not assure that the VIP number is valid, which can lead to delayed or rejected payments.
 
To streamline our procure-to-pay process, Yale has introduced a robust electronic purchase order delivery solution for goods.  While the Yale community continues to implement this solution, it is important that we also take measures to discontinue the usage of the current VIP ordering process.
 
The University's goal is to eliminate all direct VIP orders and by November 30, 2006, VIP's will no longer be permitted for ordering goods and services after this date.  To accomplish this goal, we ask that as of  January 1, 2007, you no longer accept VIP charging instructions directly via the phone, fax, email/Internet or person-to-person.  In the event that Yale customers do not yet have access to the electronic purchase order system, they may opt to use a Yale credit card or have a Yale purchase order created.
 
Over the next few months, we will continue to work aggressively towards full University usage of our electronic solutions. In preparation for this change in business process, we will hold several meetings to address any questions you may have.  In the near future, you will receive an invitation to one of these sessions with further details.

At this point in time, we are asking you not to do anything different now, only to be aware of the impending changes at the University.
