Glossary of eProcurement Terms

Advanced Search

 

The Advanced Search view allows end users to search by keyword or to browse by supplier or category. End users can also conduct specialty antibody, chemical, and column searches or punch-out to suppliers like Dell.

CMT

Catalog management tool. The CMT is a template designed to help suppliers format their electronic catalogs and pricing in preparation for loading into a SciQuest e-procurement solution. The CMT has been designed as an industry standard Microsoft Excel workbook. It is easy to use and includes complete instructions on data formatting and categorization.

eProcurement (SciQuest)

An electronic requisitioning tool that has online supplier catalogs from which you can buy many goods and services for Yale business purposes.

External Catalog

Users populate a requisition by 'punching out' of the SciQuest software to search, configure and choose products directly from the supplier's Web site. When the selections are complete, the e-procurement system resumes operation, generally routing the populated requisition for approval and/or order creation. Fast Order

 

With the Fast Order view, end users can search by catalog number. If unique search results, the item is immediately added to the cart. Otherwise, Search Results are shown to select the appropriate product.

Favorites

Favorites are items stored in folders you create. My adding items to folders in My Favorites, you can organize and keep track of all your frequently-ordered items. You can also associate Favorites folders with projects, budgets, or grants. Favorites can be ordered quickly. You simply open a Favorites folder and move them to a requisition with one click.

Hosted Catalog Hosted catalogs are supplier catalogs for goods whose contents are managed by SciQuest in conjunction with the suppliers. SciQuest standardizes product information for easy online searching, price comparison and ordering across vendors.  It is important to note that some of these suppliers offer special pricing and customer service.  These suppliers are denoted with either a #1 flag indicating that the item is available from the Yale Stockrooms, a #2 flag representing a 'strategic contract supplier' or a #3 flag representing a 'contract supplier' .  Typically, these suppliers will provide the best value on your purchase.

For your shopping convenience. hosted catalogs also include some 'science catalog' suppliers.  (See 'Science Catalog' below.)

MRO

Maintenance, Repair and Operating expenses. MRO is used to describe the goods and services that a company purchases which are NOT used in production or offered for resale. MRO purchases are generally expensed at the time they are paid for, or capitalized as an asset on the company's balance sheet. Typical MRO purchases include office supplies, manufacturing supplies, computers and miscellaneous services. Some companies use the term "MRO" in a broader sense, including expenditures for temporary help, plant equipment and advertising copy in the category. Source: http://www.purchasingautomation.com.

Non-Catalog Supplier Non-Catalog Supplier is activated in SciQuest but there is no catalog to order from. Use the Non-Catalog Order Form with these suppliers.

Science Catalog

SciQuest's Science Catalog enables leading scientific suppliers who participate in the SciQuest Supplier Network. Products from the Science Catalog are categorized into an extensive product taxonomy with over 3,500 categories.  These products are available at list price only and have no other features.
