Step #2: Provide access

Considerations for defining roles and limits in SciQuest:

 

The SciQuest environment makes available two types of roles:

Requester - user of the SciQuest environment who will shop and/or buy.

Approver - user of the SciQuest environment who will shop, buy and/or approve orders generated by others.

Each of these two roles is associated with limits. Requester roles are associated with self-approval limits and range from $0 - $5,000. Self-approval limits determine the amount up to which individuals with the role can buy without the requirement of an additional approval. All Approver Roles have a $0 self-approval limit. If self-approval is desired, then an additional Requester role needs to be assigned to those with approval authority.

For Approvers, administrators should consider which business office staff will be responsible for reviewing and approving the orders of others on a routine basis. Such users should be given sufficient approval authority to handle approving the most common orders. In addition, administrators should consider who will need to look at larger orders and provide those users with a higher level of approval authority. A hierarchy of approval capabilities will allow for appropriate allocation of workload while ensuring that large purchases are presented for review by more senior or experienced staff.

For Requesters, administrators should consider the experience and accuracy of each user when considering what limits to provide them with. As an example, users who routinely execute orders, accurately specifying charging instructions and expenditure types, could be considered for higher self approval limits. Conversely, users who are challenged with specifying charging instructions and expenditure types accurately could be given a role with a low or zero dollar self approval limit (Reviewer $0) until they display more accuracy.

  • Load users in START

It is critical that you first load all of your Approvers into START prior to loading Requesters. To help you organize and collect the information that you will enter into START to provide your users with access to SciQuest, feel free to use the Data Collection Spreadsheet (template) below to gather the data required in the START data fields.

NOTE: Administrators should set up appropriate default Approvers for each SciQuest user through START. When providing initial SciQuest access to users, this will ensure that orders are routed for approval to appropriate approvers for each user.
