What is a VIP Business Card?
A VIP Business Card is a card that has
your personal VIP #, the PTAEO associated with the VIP
#, your job title, your department, and your department
address.
What is the
purpose of the VIP Business Card?
The purpose of the VIP Business Card is
to help make having a VIP number(s) more efficient,
especially for those with more than one VIP #. The card
is small enough to carry in your wallet or purse and
you will always have it with you.
How can I
get a VIP Business Card?
You
can obtain a VIP Business Card by making them yourself
using Microsoft Word and Avery Standard 5371 or 8371
Business Cards and following a few simple directions
provided below.

Instructions:
How to Create 1-3 VIP Business Cards
- Go into Microsoft Word>Tools>Envelopes
and Labels
- Click on the Labels tab
- Type in the following information:
- VIP#######
- Space
- First & Last Name
- Job Title
- Department
- Street Address
- City, State Zip
- Space
- PTAEO ########-##-######-#######
- Under Print section, click on
the Single Label box. Row 1, Column 1
- Click on Options>Label products:
Avery Standard>Product #: 5371-Business
Cards
- Load business card sheet (business
card side down) into the appropriate paper
feed tray (you do not have to manually
feed these).
- Click on Print
- *DO NOT TEAR OFF THE CARD
IF YOU ARE MAKING MORE THAN ONE*
- Repeat steps 1-3 for the second business
card
- When you reach step # 4, click on the
Single Label box. Row 1, Column 2
- Click on Options>Label products:
Avery Standard>Product #: 5371-Business

- Load business card sheet (business
card side down) into the appropriate paper
feed tray (you do not have to manually
feed these).
- Click on Print
- Repeat steps 1-3 for the third business
card
- When you reach step # 4, click on the
Single Label box. Row 2, Column 1

Instructions:
How to Create 4 or More VIP Business Card
- Go to Microsoft Word>Tools>Mail
Merge
- Under Main Document click on
Create>Mailing Labels
- Click on Active Window
- Click on Data Source>Get
Data>Create Data Source
- Remove the Title, Address2, Country,
Home Phone, & Work Phone fields by
highlighting each one and click on the "Remove
Field Button"
- Add VIP & PTAEO fields
by typing in each and clicking on the "Add Field
Button" They will be placed at the bottom of the
list of field names. To move the VIP field
to the top, highlight VIP and click on the
Move (up & down arrows)
- Click on "Ok" and then a "Save
As" window will appear
- Name the file "VIP card data" and
click "Save"
- Next an Edit Data Source window
will appear, click on Edit Data Source
- A data form will pop up and you may
enter your information. Be sure to type in "VIP"
& "PTAEO"(with their appropriate numbers)
in their field boxes, click on Add new
to make more records, click on "Ok" when finished.
- At any time you would like to edit
your information, go to Tools>Mail Merge>Data
Source>Edit>Data (drive:\foldername\VIP
card data.doc)
- Go back to Tools>Mail
Merge>Data Source>Open Data: "VIP
card data.doc" You will get a screen that says:
Document # is a mail merge main document that is attached
to a data source "VIP card data.doc" that has not
been saved. Do you want to save "VIP card data.doc"?
Click on Yes
- A window will appear that says: "Word
needs to Setup Main Document. Click on "Setup Main
Document" button
- Under the Label Options window
be sure that "Avery Standard" is in the Label
Products box and scroll down in the Product
Number box and click on 5371-Business Cards,
click "Ok"
- Create Labels by clicking on
the "Insert Merge Fields" dropdown box in the
following format:
- VIP>enter
- FirstName>space>LastName>enter
- Job Title>enter
- Company>enter
- Address 1>enter
- City>comma>space>State>space>Postal
Code>enter
- PTAEO
- Click "Ok"
- Click "Merge" button
- Merge Window: Merge to: New Document>click
on Merge
Merge is now complete and you will be
brought to the screen that will show how the cards
will look when printed. Highlight the VIP#######
and change the text size to 20. And hit
the Enter button once on the PTAEO line
to make a space in between the address line and the
PTAEO line.
- Load the business card sheet face down
in the paper tray (You do not have to
manual feed these!)
- Click on Print
