Account Numbers
Do I need to enter an
account number anywhere when completing the web form in Accuship?
No. When you use Accuship,
you will not enter an account number. The account number is already
programmed into Accuship for Yale and is not accessible to end users.

Do I have to use the
Accuship for express shipping services?
Using Accuship is the
recommended approach for ordering express shipping services at Yale.
You will use a VIP number within the Accuship solution for your
Yale charging instructions (referred to as 'Cost Center' within
Accuship.)
May I use Accuship for
international express shipments?
Yes. Yale receives competitive
international rates from FedEx, UPS and DHL so using Accuship for
international FedEx, UPS and DHL shipments is advisable for this
reason as well as the other benefits listed above.

May I use Accuship for
personal use?
No. Currently Accuship is only set up for
use with University charging instructions (VIP numbers) not personal
credit cards which would be required to process a personal transaction.

Cancellations and Changes
What do I do if I make
a mistake on a label or I have created a label for a package that
I decide not to ship according to the date on the label?
If you make a mistake
or need to update a label, you must cancel the shipment and create
a new label. Please note that you cannot edit or reuse a label.
By design, every package must have a unique shipping label because
each bar code is a point of control for the carrier.
The good news is that
Accuship also gives you the ability to cancel a shipment yourself
and create a new label rather than calling the carrier to cancel
the shipment which normally results in a $10 correction fee.
When is it too late
to cancel a package?
It is too late to cancel
a package delivery once it has been placed in a drop box or picked
up by the carrier.

Carrier Pickups
Do I still need to call
the carrier to pick up a package?
Yes, if you are not using
a drop box that belongs to the carrier, you will still need to notify
the delivery service to pick up your package for delivery.
What if I want to use
a drop box but don’t know where the closest one is located?
Accuship has a handy feature
called the Drop Locator. You just type in your address and it will
search to find the drop box that is closest to you.

Dry Ice Shipments
Can I prepare a shipping label for dry ice shipments through Accuship?
Yes. To ship a package containing dry ice (of any weight) via FedEx, please observe the following requirements:

Create a Standard FedEx shipping label using the Accuship shipping solution.

Dry Ice Label – This label indicates “Dry Ice” with the “UN1845” Identifier on it. This label can be ordered from FedEx for free. This label is not generated in Accuship.

How do I begin using
Accuship?
You can start using Accuship
by going www.yale.edu/procurement/accuship. On the Accuship
home page, you will find a link to online and other training opportunities,
shipping guides, tips and more. Go to the 'Accuship Application'
link on the main menu to create an airbill.

Method of Payment
Can I use a VIP Number
when ordering online with Accuship?
Yes. Just fill in the
seven digits following the pre-populated “VIP” in the
Cost Center field. Please do not type a space between “VIP”
and the number. Accuship will have a current list of valid VIP numbers
and will validate your VIP when you enter it into their system.
Incorrect VIP’s will automatically be kicked out of the system
and you will not be able to continue processing.
Can I use a Purchasing
Card with Accuship?
No, not at this time.
Is there any charge for
processing a transaction in Accuship?
Although there is a $.60
charge per transaction, the Yale Controller's office covers this
fee plus an additional $.25 per transaction resulting in an $.85
savings per transaction to Yale departments.

Package Labels (Airbills)
How do I get a label
for my package?
Once you have entered
the necessary information for your airbill, you will print the label
(airbill) on plain white office paper within the Accuship solution.
Just fold the paper in half and place just that one piece of paper
in the plastic pouch with the shipping information showing and you
are all done! Forms are not required and copies are not necessary
for domestic overnight deliveries.

Web Statements &
Reporting
How often will my Accuship
charges show up on my statements?
Accuship charges will
be invoiced and appear on your statements weekly.
What will my charges
look like on my statements for overnight deliveries?
Accuship charges will
appear as actuals when the invoice is paid by Accounts Payable.
When you look at View Shipments in Accuship, your tracking number
on the summary will match with the tracking number on your statement.
Also, through View Shipments, you can track your shipments by VIP
number to make statement reconciling easier.
