Production Development
All students interested in producing a production/event on the Yale campus should start by becoming familiar with the “Producer’s Primer”. Once funding and a performance space have been secured the student producer is required to contact the OUP to schedule the first of several production meetings. The producer/staff should come to this meeting prepared to present detailed plans for the production. The student is responsible for being familiar with the Yale University Undergraduate Production Guidelines. The student is responsible for completing pre-production forms and having them signed by the appropriate representative of the Master's Office in whose space the performance will take place. We will also review student plans for all scenic and technical elements to insure that they are to appropriate scale for the particular performance space and fit the skills of the students involved. The student producer is responsible for insuring that their staff attends workshops that may be recommended and/or required for their project. The student is responsible for adhering to the policies of the OEHS and the Yale Fire Marshal. The student will schedule a follow-up meeting for 2 weeks prior to the load-in.
At the second meeting students will present plan updates for review and final approval. Forms will be signed and faxed to the Yale Fire Marshal and an inspection scheduled. Rentals of props, costumes, sound, and or lighting equipment will be arranged and pickup/delivery will be scheduled.
A final meeting will take place on the Friday prior to load-in for a final review of load-in plans, tech/performance schedules, and inspection requirements/procedures. Students are responsible for insuring that their production is ready for inspection when scheduled. Return of all rental materials will be scheduled.
An inspection of the production is required and will take place on Wednesday prior to any public performance. Any student group unable to be prepared for Wednesday inspection may petition the Yale Fire Marshal's Office for a special inspection time. Granting of such requests is rare and if granted a fee may be assessed.
All students involved in undergraduate productions and events share responsibility for the safety of their show, crew, cast, audience, and the performance space itself. This includes following all applicable fire and safety rules and regulations, seeking specific guidance from appropriate University officials, and applying good judgment and common sense.
