Conference Calling Guide
Multi-Party Conferencing: 7-32 People
You can set up a conference call for up to six people, including yourself, by using the conferencing feature of your telephone.
Use of a local Yale telephone number is provided without charge. Information is also available should you need an 800 number. This provides a toll free call for the participants but a charge will be billed to the conference chairperson.
Conference call procedure:
- To reserve a time slot for your conference call please go here. If you have any questions please call 436-4056.
- You, or a designated person in your department will be considered the Conference Chairperson and will be given the Chairperson Number and the Conference Participant number.
- When you call the Conference Chairperson number, you will be connected to the conference call and will hear, " Welcome to the Conference Call, please say your name after the tone." Once you say your name you will be connected to the Conference Call.
- The remaining conference participants will call the Conference Participant number. When the conference participants dial the Conference Participant number, they will hear, "Thank you for calling the Yale Conference Line. If you are in Conference A, please press 1; if you are in Conference B, please press 2; if you are in Conference C, please press 3; if you are in Conference D, please press 4; if you are in Conference E, please press 5.
Once the participant chooses Conference A, B, C, D, or E, he will be transferred to the Conference. He will then be prompted to say his name and will be connected to the Conference.
NOTE: If the Conference Participants call the Conference Participant 800 number they will hear a tone and will enter the Supplemental Code. Once they enter the Supplemental Code, they will hear the above greeting.
- After all conference participants are connected to the conference call, the Conference Chairperson must depress *4 to establish privacy. No other callers will be allowed to join the conference. If necessary, the Conference Chairperson can depress *4 a second time to release privacy and allow another participant to join the conference call. Just remember to depress *4 a third time to re-establish privacy.
- When the conference call is over, the Conference Chairperson must depress *90 to disconnect all parties from the conference call.
Other commands that may be useful are:
*60 Counts conferees and announces names to all participants
*98 Extends the conference duration if ports are available
*19 Mutes/unmutes chairperson (also mutes the participant if done from the participant's telephone)
Use of an 800 Number
Use of an 800 toll free number for conference calling is also available, using a supplemental code. The Telecommunications Coordinator or Business Manager of the Yale department should complete a START request for use of the 800 number and provide charging instructions. The department will then be assigned a "Supplemental Code" that will be entered by the conference participants when they call the 800 number to connect to the conference call.

Any long distance charges incurred from use of the 800 number and the supplemental code during the reserved time slot will be billed by Network Services to the PTAEO provided on the START request.
