Why is there a new process for sending email messages?

We're using a new process to improve the quality of email messages we send out to the F&A community. The new process is designed to (1) make it easier for people writing messages to get them out by creating clear standards and a simple process, (2) improve clarity of emails so people receiving them can quickly understand the message and its priority level, and (3) reduce the number of emails we're sending out, especially for information that could be better shared in a newsletter or meeting.

Using this new process should reduce the time spent in back and forth exchanges with the F&A communications/message team because filling out the form will ensure that the communications team has all the information it needs to send out messages in a timely manner. You should not see a slow down in getting your message out-in fact, you can expect this process to make it easier to create a crisp, clear message that is meaningful to your audience.

To send an email message:

1) fill out the Message Request Form

2) vet your message

3) submit form and message to University Messages

How long will it take to complete the Message Request Form?

About 10 minutes. While this may feel like an extra step that adds an annoying layer of bureaucracy to the process, over time, filling out the form will make it easier and faster to create and send messages because it will reduce the amount of back and forth vetting required to get messages out to the community.

How will I know that my request has been received and acted upon?

Just as in the past, you will receive an automated email from University Messages acknowledging receipt of your request.

Will my message go out if I don’t use this form?

No. All messages going out to a broad F&A audience need to go through this process, and must include a completed message request form before they can be sent.
