How to check and reduce email quota (medical campus)

Check email server disk space use / remove old email

  1. Login to How Much Space am I using? to check the space of your inbox on the email servers email.med.yale.edu, omega.med.yale.edu or biomed.med.yale.edu.

Deleting messages on the server:

  1. Login to Webmail
  2. Sort messages so the oldest messages are first on the list by clicking the arrow in the Date Column Heading so the arrow points up.
  3. Select “All” from the pick-list at top left of message summary screen below the word INBOX (each message on this page will then appear with a checkmark in the box in far left column – selectively UNCHECK messages you don't want to delete by clicking in the box to remove check mark.
  4. Click “Delete” Option at top left beneath the Select Box.   (All checked messages will remain visible, but crossed out.)
  5. Click “Purge Deleted Messages” at top right above Message Size Column (All checked messages will be permanently removed.)
  6. Repeat steps above on each page until all your older mail has been purged from the server – You may adjust the number of messages displayed on each page via Options/Display Options (toolbar choice)

Purge hidden or unintentionally saved messages on the server

  1. Log into webmail (expect a delay if you have a large Inbox)
  2. You may be hiding messages unintentionally, click Show Deleted Messages (top right) to change the setting.
  3. Click Purge Deleted Messages on top right of message summary screen to permanently remove these messages from the server.

Download and archive email using Webmail

  1. Login into webmail
  2. Click on Folders on the top menu bar.
  3. A list of folders in your mailbox will appear. Check the box next to the folder(s) that you would like to download.
  4. Select Download Folder(s) from the drop down menu.



  5. Save the .mbox file to you desktop or choose another destination.
  6. You may then select a client program to import your email.
