Maintenance Reminder

Reminder: Maintenance to Oracle and Data Warehouse

The annual maintenance to keep Yale’s Oracle applications up-to-date and to maintain reliable service of the Financial, Human Resources, Procurement and Reporting applications is scheduled to begin Thursday afternoon, November 10, and be completed by Monday morning, November 14.  This means that the Oracle Applications will be unavailable for use beginning 12 noon, Thursday, November 10, through the morning of Monday, November 14.  The following systems and applications are included in this outage:

Changes in Management & Training Documentation

As in the past, careful consideration is being paid to the impact the upgrade will have on the end-user.  This year the changes to the end-user are considered minor and orientation to the changes/training is being handled with documentation.  The documentation is available on-line at http://www.yale.edu/oboe/oracleupgrade and includes descriptions of each change along with screen shots.  It is strongly encouraged that you take the time to review the documentation to familiarize yourself with changes you can expect to see.

Other Important Information
  • Deposits: In order to ensure processing of all deposits before the scheduled outage occurs, Treasury Services must receive your RIFs by 10:30am on Thursday  November 10th. All RIFs received after that time will be deposited on Monday November 14th.
  • Transactions in the Data Warehouse:  Transactions entered in to the Oracle Applications on Thursday, November 10, will not be available in the Data Warehouse for reporting until Tuesday, November 15.
  • Grant Budgets: Oracle Financial Analyzer (OFA) will be available, but no Grant Budgets should be submitted to the DWH during the outage period.
  • SFTP: The SFTP server (Sal) will not be available from 12 noon on Thursday, November 10, through 2 pm Thursday, November 10. It will be available for the remainder of the outage.  All files sent to the SFTP server during the outage will be processed following the upgrade.
  • ITS Communications:  As the upgrade date draws closer, you should expect at least two ITS communications detailing the specific times the outage will occur and what applications it will affect.  Any changes in schedule will also be communicated via ITS Communications so please pay particular attention to the content of these messages during the upgrade time.
  • ITS Status Page: During the system outage, information will also be made available on the ITS Systems Status Page www.yale.edu/its/status.
