For 2009, all required tuition reimbursement request documents must be received in the ADP offices on or before Sunday, December 27, 2009, at 11:59 p.m., Eastern time, to be considered for reimbursement against the 2009 program maximums. Any reimbursement requests received after this deadline will be considered for payment against the calendar year 2010. For tuition reimbursement requirements, click here.
Note: Incomplete requests will not be applied towards the 2009 year-end deadline. Any requests submitted after the deadline on December 27, 2009, will be processed by Your Spending Account, the new vendor for Yale's Tuition Reimbursement Program, as of January 1, 2010. Additional information will be provided in January.
"Complete" request documentation must include the following:
- A system-generated, personalized Reimbursement Request Form as the cover sheet. To access your personalized form, click here and select "ADP Claim Tracking."
- Itemized statements to support your reimbursement request (credit card and handwritten receipts are not acceptable)
- Transcripts or a grade report (upon successful completion of course work). Transcripts and grade reports must include your name, the name of the school or institution, the name of the course, the course ID and the grade you received. Handwritten grade reports are not acceptable nor are course score cards.
Note: If your school has not released grades by then, you may submit a letter written by your professor or school representative (the letter must be printed on official school letterhead), in lieu of your report card, stating your passing grade.
- Verification of course start and end dates
To meet established deadlines for final payroll and W-2 forms processing for the 2009 taxable calendar year, we must maintain strict adherence to the reimbursement filing deadline. If you have additional questions, please contact the Yale Tuition Reimbursement Solution Center at 1-800-770-7985 or the Employee Service Center at 203-432-5552.
Beginning in 2010, Your Spending Account (YSA) will administer Yale's Tuition Reimbursement Program. Employees who participate in the program will need to submit required documentation to YSA by specified deadlines. Additional information will be provided in January 2010.
