Travel
We will be in contact with confirmed participants in regards to arranging travel. We will be unable to accomodate those who have not made arrangements with us well in advance. We ask that you try and contact the Secretariat as early as possible.

Information to apply for a visa

Many non-U.S. residents will require an official letter of invitation letter for applying for a U.S. visa. To request a letter, please contact the Secretariat and we will email you a PDF document or mail an original copy by post.

Car:

If you are driving to Yale, you can find driving directions here. Parking mayl be covered as part of your hotel room charge.

Driving Directions to Luce Hall: From north or south on Interstate 91 (I-91), take Exit 3 (Trumbull St.) Stay in the middle lane and continue straight onto Trumbull Street, through the third traffic light (Temple Street) --- the next right is Hillhouse Avenue. Luce Hall is the third building on the left, set back from the street. Metered parking throughout area (need to pay on Saturday only). (Yale parking lots open to the public after 4:00 P.M. on weekdays and all weekends)

Train

Metro-North Railroad runs between New Haven’s Union Station and New York City’s Grand Central Terminal every hour throughout the day, and more frequently during commute times. +1-800-638-7646. A 1-way off-peak ticket between Grand Central and New Haven is $14.00 and the peak ticket is $18.50. Tickets are available at the stations.

Amtrak offers service to New Haven’s Union Station from Washington DC, Philadelphia, New York, Providence, Boston, and beyond.

  • Amtrak schedules from New York's Penn Station: There is a train leaving for New Haven about every hour. Please contact Amtrak directly to book your ticket.

From Union Station to the hotel and/or meeting locations: There are taxis, buses, and an Avis rental office at the New Haven train station. The taxi stand is right outside the front entrance. By car or taxi, the trip from the station to any of the hotels is 5 minutes and 10 minutes to the meeting rooms.

Air

Tweed is New Haven’s local airport. US Airways is the main carrier for Tweed. Tweed airport (HVN) is a 10 minute taxi ride to downtown New Haven.

Bradley International Airport (BDL) services the Hartford CT/Springfield MA area. The medium-sized Bradley airport is 45 minutes north of New Haven. Most major American carriers, in addition to Jet Blue and Southwest, service BDL. For ground transport, Connecticut Limo runs shuttle service to and from BDL. This takes about 1 hour 15 minutes due to stops en route. More ground transportation info below.

New York's John F. Kennedy (JFK) International Airport is the largest major international airport in the Tri-State area and about 1.75 hours from New Haven. However, ground transport planning should take major traffic into account. Connecticut Limo and Primetime Shuttle offer shuttle services between JFK and New Haven. You can find the ground transportation desk near the baggage claim to find the shuttle services. More ground transportation info below.

New York's LaGuardia (LGA) Airport is about 1.5 hours from New Haven sans traffic. It handles less international traffic than JFK and is prone to the same traffic issues. Connecticut Limo and Primetime Shuttle offer shuttle services between LaGuardia and New Haven. The ground transportation desk near the baggage claim handles requests to New Haven. New Jersey's Newark (EWR) International Airport is about 2.5 hours from New Haven without traffic. There is a direct Amtrak connection from Newark to New Haven's Union Station, which is just a two minute taxi ride from the hotel. If you choose to fly into Newark and take the train, please be sure to check with Amtrak (www.amtrak.com) as the trains to New Haven are infrequent. You should also allow at least 45 minutes after clearing customs to get from the airport to the train. In addition to Amtrak, Connecticut Limo and Primetime Shuttle offer shuttle services between Newark and New Haven. The ground transportation desk near the baggage claim handles requests to New Haven. Meals
We will be providing meals for our guests during the meeting: Saturday lunch, Saturday dinner, Sunday breakfast, Sunday lunch.  Please indicate any dietary restrictions and/or special meal requests through the Online Registration Form.

 

Attire
Casual Business attire requested -- suits and ties are not necessary. New Haven will be experiencing late spring at this time of year, so we recommend that you dress appropriately. You can check New Haven's forecast here.

 

Reimbursements:
If the Secretariat has agreed to reimburse your travel expenses, please remember to keep all receipts. For those traveling by air or rail, please retain all boarding passes as well as your receipt for your ticket.

For U.S. citizens, we will have forms available upon your arrival to be filled out for reimbursement. If you are a non-U.S. citizen, we will need a copy of your passport, U.S. visa, and I-94 card.  During the workshop, you will be asked to fill out a reimbursement form. This will facilitate the reimbursement process.
