Frequently Asked Questions

Registration and Housing:

Q: Is the only method of payment a credit card via Eventbrite?
A: No. Although we highly prefer that groups and individuals pay with a credit card, we understand that this is not an option for everyone. It is possible to pay via check; however, email the Conference email address and let us know that you are mailing a check so we know to look out for it. If you are paying by check, the check must be received by the registration deadline. Additionally, please fill out the registration form on the website to list your participants and their contact information. It is not possible, under any circumstance, that a group brings a check to registration the weekend of Conference.

Q: Where is Registration?
A: Registration is at the Afro-American Cultural Center at Yale. The address is 211 Park Street, New Haven, Connecticut 06520. If you are coming in a group, please email The Registration, Housing, and Outreach Committee (listed on the next page) with an estimated time of arrival on Registration day. This is important because it will aid us in coordinating hosts pickup for those choosing Yale Housing.

Q: I am interested in Hotel Housing but when I call the Marriott, they tell me there are no more rooms available in the block of rooms reserved for Conference. What are my options?
A: The block of rooms we were able to reserve at the Marriott is limited, and thus all those who might be interested in staying at the Marriott might not be able to. Other options are to try and reserve a room at the Marriott that is not under the block of rooms reserved for the Conference (note: There is no guarantee that the price of the room will be the same as that of the rooms under the Conference block). Another option is to look into rooms at other area hotels. The two hotels that are Downtown and still within walking distance to campus are The New Haven Hotel and the Omni. If your group has a coach bus or vans, feel free to look into Hotel rooms in surrounding cities such as Hamden, North Haven, West Haven, and Milford. If none of these options pan out, Yale Housing is available.

Q: My group is interested in Registering on Friday because we do not want to miss class on Thursday. Is this possible?
A: For those groups who are interested in registering on Friday this is possible. However, you must let the Registration Committee know before hand that your group is interested in registering on Friday. You must also let him know the time your group will be arriving. For groups interested in doing this, know that the price of conference does not change as a result of you participating in conference for 1 less day.

Q: What should I expect if I chose Yale Housing?
A: If you have selected the Yale option for housing, you will be living in one of Yale’s twelve residential colleges dispersed throughout Yale’s campus. Yalies usually live in suites where an average of six students share a common room and have their own bedrooms (some may have a roommate). It is possible your host has a stand alone single where they are the only individual staying in the room. In any of these cases, we strongly suggest you bring a sleeping bag or similar substitute because there will be around 3 conference participants per host and we cannot guarantee that your host will have a futon or couch for all of you. Furthermore, it is imperative that you exchange cell phone numbers as soon a you meet your host. All Yale housing requires ID access so your host, or one of their suitemates, is the only person that can let you into the room. As this conference does not affect all Yale students, please be mindful and respectful of other people living in the suite during your time.

General Questions

Q: What kind of clothes should I bring to Conference?
A: For the panels and the discussions following them, the attire is business casual. For the keynote dinner, the attire is all black semi-formal. The dress code will be strictly enforced at the keynote dinner and we reserve the right to prevent non-compliant conference participants from entering the dinner. Other than that, attire is casual.

Q: What is the food situation for the weekend?
A: We will provide lunch and dinner for all registered participants on both Friday and Saturday. All conference participants will be given a list of restaurants in the area at registration so they know their other food options.
