Report on the October 21, 2004 Joint Policy Board/Initiative Steering Committee Meeting
October 21, 2004

On October 21, a joint meeting was held of the Policy Board * and the Initiative Steering Committee **.

The committee met with representatives of the Best Practices Information Coordination Team, Duane Mellor and Kara Tevella. (Susan Grajek, Director of Communication and Technical Support, ITS Med; Duane Mellor, Local 34 Job Search Team; Mike Schoen, First Cook, Berkeley College; and Kara Tevella, Associate Director, Administration, Facilities Operations). This group reviewed a work plan and timetable designed to capture and catalog best practices initiatives across the University, so that the ideas, learning, and experience could be shared and used throughout the campus. It was agreed that members of the Policy Board and Initiative Steering Committee, along with members of the Best Practices Information Coordination Team, would begin attending selected Best Practices meetings across the campus to show support for these activities, as well as share findings and lessons from local departmental Best Practices Committee meetings.

The committee then received an update on the Best Practices initiatives for Dining Services as well as the Yale University Health Services. Both of these groups have formed their Best Practices committees and, to assist with a successful start to their actions, the Policy Board and Initiatives Steering Committee are providing facilitation support by Janet Castricum from Right Management Consultants ***.

The Interim Employment Pool (IEP) was discussed, and ways to best support the efforts of the Job Search Team were explored. A number of the committee members, along with newly appointed Director of Staffing & Career Development, Cathy Vellucci, will be meeting with the Job Search Team to develop specific actions to assist in the placement of qualified employees from the IEP in open positions.

A review of the Work Place Survey, which was launched in Finance & Administration, Library, ITS Med, Drama, and Development, was held. Information from the survey will be available in late November/early December and will be reviewed with the committee. Various options for reviewing the materials with departments once the information is received were discussed. Based on the input of the committee, a plan is being developed for review and approval at our November meeting.

The committee also discussed ways to improve communication of our Union/Management initiatives across campus. A number of communication activities will be utilized in the coming months to assist in this effort. Feature articles in Working at Yale will highlight success stories of our Best Practices Initiatives. The first of these articles will celebrate the success of the Yale Golf Course.

Additionally, a Union/Management partnership website is being created, and the committee will also work with the Learning Center so that awareness of our Union/Management initiatives are incorporated into the new employee orientation sessions held weekly at the Learning Center.

The next scheduled meeting of the Initiative Steering Committee will be held on Thursday, November 18.
