Yale RIS
(Reprographic & Imaging Services) is developing an online web-based
system for ordering business cards and other stationery items. The
website allows online proofing of items ordered, and connects to
a backend system that routes the orders directly to the printers
at RIS; the completed cards are then delivered to the customer.
The system will:
- reduce overhead, resulting in significantly lower
cost for the client
- move orders through the printing system faster
- simplify initial orders by auto-entering data
- simplify repeat orders by offering an online order
history

The system
uses Yale’s Central Authentication System to validate a user’s
NetID and retrieve his/her personal data from Yale’s online
directory. The system then uses this data to customize the user’s
view of the web ordering pages - for example, while certain generalized
Yale layouts may be available for all users, some users may be able
to choose from additional cards and stationery layouts that have
been made available for their specific department or school.
Personal information fields are auto-populated with the user's data,
and an online proof of the item being ordered is displayed for review.
Information can be edited and the proof is instantly updated with
the revised data. Once the proof is approved, payment is made online
via PTAEO or credit card, and the item moves directly into the RIS
print system. A number of delivery options are available for the
completed order, including RIS delivery service, UPS, FedEx or USPS
shipping, or pickup at RIS.
An additional option for business managers will, if selected, prevent
orders placed by employees in their department from moving into
the print system until approved by the business manager. This approval
process is completed via a secure online interface.
