Why not consider utilizing Triumvirate Environmental Services to develop partnerships for hazardous waste disposal with soil disposal facilities and in this way negotiate a favorable price? We agree! As a result of this comment, staff from Facilities Operations, the Office of Environmental Health and Safety and the General Counsel’s Office are discussing alternative methods of contracting for hazardous soil disposal that have the possibility of significant savings. Implementation planned by Fall 2004.
Why not improve custodial services? We agree! We are implementing a series of changes within Custodial Services that we feel will help us achieve our goal of providing consistent, high quality service. Also, we realize that in order to have more productive dialog with our customers it is important that customers know the frequency of service that they can expect. We will begin a process to convey this information via direct meetings with business managers and PI’s as well as presentations to the new “Facilities Operations Customer Advisory Groups” – geographically based groups comprised of customer representatives. Implementation planned beginning July 1, 2004.
Why not create a web site that tracks student space maintenance requests? We agree! We are in the process of implementing a web based work request system. Implementation planned by Fall 2004.
Why not streamline Facilities Operations so that repair work that requires multiple trades or departments is easier to complete? We agree! To better serve our customers there does need to be more seamless coordination between the various functional units within Facilities Operations. In order to achieve this we are implementing several structure changes within our management structure that will be in place by July 1st. Implementation planned by July 2004.
Why not distribute telecom reports electronically? We agree! This is planned with the implementation of the new Pinnacle System in FY05. The new system should also help improve the accuracy of the data. Implementation planned for late Fall 2004.
Why not allow alcohol to be charged since it is allowed if charged or paid in other ways? We agree! The newly revised Purchasing Card procedure will allow alcohol to be charged to a Purchasing Card as long as alcohol is purchased in conjunction with a meal. The upadted Purchasing Card procedure will be released soon. Implementation planned by Summer 2004.
Why not save a bundle by centralizing postage purchase instead of departments still using postage stamps or individually using postage meters? We agree! In October 2002, we began to make inroads on saving money associated with postage by introducing an easier online method of reloading postage on meters around campus. We further improved on this initiative by adding the ability to purchase postage online through the Yale ePortal saving a great deal of resources wasted walking to and standing in line at Yale Station. Learn more about this initiative in the article on the Business Management Monthly News. Ongoing.
