Travel Management Project

The goal of the project is to provide Yale travelers with the best possible travel experience. To achieve this, we will improve Yale’s travel experience by securing the best technology for online purchases, selecting the most sophisticated travel management company, and obtaining competitive vendor agreements with air, rail, hotel and ground transportation providers therefore developing a simple, easy-to-use travel experience for Yale employees and their guests.

Clear improvements will be evident to the traveler, from the moment of planning a trip to getting reimbursed for the trip. The Yale traveler will have access to the least expensive fares for airlines, hotels and ground transportation, and will be able to use a simple, effective travel management and expense reimbursement tool. The University will be able to negotiate the best rates for air, hotel and ground transportation, and will have access to timely and robust data, to make fact-based decisions on travel and to anticipate travel patterns and needs.

Transportation Policy Committee

The Yale Transportation Policy Committee will develop and make recommendations on the full range of issues that relate to transportation management, including public transportation, parking, and alternative transportation.

Committee recommendations will take into account: the transportation needs and desires of faculty, staff, students, and campus visitors; mutual interests of Yale and the City of New Haven with respect to transportation policy and infrastructure; funding levels and sources; best practices; projected institutional growth; and the teaching, research, and public service missions of the University.

Campus Mail Operations Assessment

The goal of the project will seek to identify process improvements necessary to make mail operations more efficient and cost effective. Results will include the transformation of the Yale internal mail operation as well as a series of incremental changes to improve efficiency, timeliness and accuracy of internal mail while working toward the transformed vision for mail services.

Ground Transportation Committee

As a result of the travel survey administered by the Travel Task Force, in independent conversations with travelers, business manager and administrator input, it was determined that ground transportation to/from Yale University to major metropolitan airports needed to be evaluated. Therefore, a ground transportation subcommittee was established to assess current and potentially new modes of transportation to Bradley International (BDL), LaGuardia (LGA), JF Kennedy (JFK) and Newark (EWR) airports and make recommendations.

Publishing Services Center

The goal of the Publishing Services Center is to create a client service group that will develop and deliver a range of strategic publishing solutions to the Yale community. These services will streamline and simplify the complex, evolving process of print, web, and design planning, procurement and production while lowering costs. Yale clients will be able to draw from a scalable set of services - from web-based, wizardlike tools and resource kits for smaller, simpler projects to a knowledgeable consultant acting as a client advocate for larger, complex projects. These services will allow departments and schools to develop a strategic approach to publications management, providing criteria and processes to reevaluate what is being published, and to offer guidance on the best approach.

A group of preferred vendors will be selected, monitored and actively managed in order to ensure consistent, transparent delivery of superior service at the lowest possible cost. Internal service providers will be organized and managed so as to be closely aligned with the needs of the Yale community.

This customer service organization will be a true representative of the best interests of Yale, rather than just one of many providers of print and web services. It will allow staff and faculty at Yale to save time, improve results, and save money.
